What information we collect
We may collect account information such as your email address, display name, account ID and authentication/security information; an optional private phone number; motorcycle information such as registration, make, model, colour, year, photographs and identifying features; stolen, found and sighting report information; registered-bike information; evidence or CCTV you submit; Community Imported material from public social-media posts; notification preferences and push tokens; service activity/security logs; and supporter/payment status supplied by our payment provider.
BikeWatchGB does not need to store your full card details.
How we use information
We use personal information to operate stolen, found and sighting reports; connect related reports; provide private Registered Bikes matching; review Community Imported reports; review evidence; contact users where relevant to a stolen/found motorcycle; deliver service notifications; protect the service and investigate misuse; process supporter membership; and, where lawful, assist police or other authorities with the prevention or detection of crime.
Our lawful bases
We mainly rely on legitimate interests where processing is necessary to operate a motorcycle theft-reporting and recovery service, connect reports, protect users and prevent misuse. We use contract where processing is necessary to provide an account or supporter service you request, and legal obligation where the law requires us to retain or disclose information.
Some reports or evidence may contain personal information relating to alleged criminal offences. Where Article 10 UK GDPR applies and we do not act under official authority, we intend to rely where appropriate on Schedule 1 paragraph 10 of the Data Protection Act 2018 (preventing or detecting unlawful acts), subject to the applicable requirements and safeguards.
Public and private information
Not everything submitted to BikeWatchGB becomes public. Public report pages may show motorcycle details, report photographs, an approximate area and report status. Private information can include account contact details, exact found-bike locations, evidence, private Community Import provenance and administrative review information.
For found motorcycles, the precise found location is not intended to be displayed publicly. Only a rough or approximate location is published.
Community Imported reports
A BikeWatchGB user or administrator may submit a screenshot or information from a public social-media post. BikeWatchGB may use automated tools to extract proposed details such as registration, make, model, colour, date, location and photographs. Automated results may be corrected or reviewed. A Community Imported report does not, by itself, verify the identity of the owner or poster.
Original source screenshots are retained as provenance. For stolen or sighting imports, an original public post may also be displayed where appropriate. For found-bike imports, the original screenshot is kept private where publication could reveal the precise location.
Automated matching and AI-assisted extraction
BikeWatchGB uses automated tools to help extract information from screenshots and identify possible links between reports. These tools do not make final ownership decisions. Potential owner matches require human review before an owner-facing alert is sent.
Who we share information with
We use technology and service providers to host and operate BikeWatchGB, authenticate users, send email and push notifications, process payments, provide AI-assisted extraction, geocode locations and support vehicle lookups. These may include Supabase, Google/Firebase, Stripe, Resend, AI service providers, mapping/geocoding providers and relevant vehicle-data services. We only provide information needed for the relevant service.
We may share relevant information with police or other authorities where required by law or where lawful and necessary to assist the prevention or detection of crime. Carefully selected BikeWatchGB Admins may access private report information where necessary for legitimate case administration and are expected to follow confidentiality and data-handling rules.
International processing
Some technology providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, we will rely on an applicable adequacy decision or appropriate contractual or other safeguards and keep these arrangements under review.
How long we keep information
We do not intend to keep identifiable personal information indefinitely. Active unresolved reports may remain available while recovery remains realistic. Closed, old or recovered records are periodically reviewed. Personal information that is no longer necessary is deleted or anonymised.
Your rights
Depending on the circumstances, you may have rights to request access, correction, erasure, restriction, objection, portability and information about certain automated processing. These rights are not always absolute.
To make a privacy request, email info@clevedon-motorcycles.co.uk. We may need to verify your identity. You can also complain to the Information Commissioner’s Office (ICO).
Security
BikeWatchGB uses access controls, private storage for sensitive material, role-based permissions, database row-level security and review controls intended to limit access to personal information.

We may update this notice when BikeWatchGB changes. Material changes will be reflected in the version or date shown here.
